Be Prepared for New HITECH Provisions

Use Trace to Track Patient PHI for Accounting of Disclosures
New HIPAA privacy regulations give individuals the right to receive an accounting of disclosures of Protected Health Information (PHI) made by a covered entity. Upon request by a patient, hospitals must be ready to produce in either written or electronic form all disclosures relating to the patient’s PHI. Disclosures are not limited to hard-copy information but include any method that divulges information, including verbal release. The written accounting must include the date, recipient and description of each disclosure.

When an accounting is requested, the timeframe for gathering and producing information is tight, and recoupment of the production cost is limited. Trace can help hospitals meet HITECH regulations by providing an efficient and cost effective mechanism to track and report disclosures of PHI. By capturing disclosures with Trace, hospitals can easily search and retrieve any record – fax, email phone call, etc. – containing PHI. Trace data fields such as date/time, user comments and recipient information provide the necessary background for each accounting.
